Academic Sick and Vacation Leave Accruals by Series

See below to determine whether appointees in accrue sick leave, vacation leave, or neither.  Faculty and academic appointees who do not accrue sick and/or vacation leave may consult academic policy and/or collective bargaining agreements, where applicable, about eligibility for other paid and unpaid academic leave provisions. See UC PATH for appointee's specific accruals.

Delegation of Authority

Approval of leaves at UC San Diego's functions under the concept of "delegated authority".  

Defined as the process of transferring responsibility for a task from one individual to another , delegated authority for leaves is normally divided between a department's Chair, school's Dean, the Sr. Associate Vice Chancellor - Academic Affairs, Executive Vice Chancellor, and Chancellor.

General Policy

Leaves at UC San Diego are governed by two (2) main local policies:

Local UCSD policy is rooted in UC-wide policy, mainly the Academic Personnel Manual (APM) 700 Series.

Policy Updates

Effective January 1, 2025, the University of California expanded paid sick leave options across the UC workforce.

Paid Sick Leave Accruals

Per Academic Personnel Manual (APM) 710-14 academic appointees who have a paid appointment greater than zero percent (0%) shall accrue paid sick leave in proportion to their percentage of effort.

Eligibility for Sick Leave Accruals

Per Academic Personnel Manual (APM) 710, Section 710-14, policy covered academic appointees who have a paid appointment greater than zero percent (0%) shall accrue paid sick leave in proportion to their percentage of effort.

 

  • Academic Administrator series
  • Academic Coordinator series
  • Associate University Librarian and Assistant University Librarian
  • Continuing Educator series
  • Cooperative Extension Advisor series
  • Coordinator of Public Programs series

Sick Leave Usage

Sick leave (Accrual or Bank) is available for use only during scheduled work hours and shall be used in keeping with normally approved purposes including:

  • Diagnosis, care, or treatment of an existing physical or mental health condition;
  • Preventive care; childbearing and childrearing (see APM - 715 and 760);
  • Disability; or for the purposes specified in APM - 758 (issuance expected January 2025).
  • Diagnosis, care, or treatment of an existing physical or mental health condition or preventive care for an appointee’s child regardless of age or dependency status, parent, spouse, domestic partner, sibling, grandparent, grandchild, or designated person.
  • At the appointee’s option, during family and medical leave to which the appointee is entitled under APM - 715 when the appointee is taking family and medical leave for any covered reason other than qualifying exigency leave.
  • May be used by an academic appointee who is a victim of a qualifying act of violence or who has a family member who is a victim of a qualifying act of violence, in accordance with APM - 758 (issuance expected January 2025)
Eligible academic appointees may only use a paid sick leave bank when appointed in a title in which a paid sick leave bank is provided and may only use accrued paid sick leave when appointed in a title in which paid sick leave accrues.

Academic Year Appointee Accruals by Series

 Eligible academic-year appointees accrue paid sick leave only during the months of their service period, at the rate of one (1) working day per month for full-time service, including leaves with pay.

  • Eligible appointees at less than full-time accrue paid sick leave at a rate proportionate to their appointment.
  • There is no maximum limit on the amount of paid sick leave an eligible academic appointee can accrue.
  • Recalled academic appointees are not eligible for paid sick leave accruals.
  • Paid sick leave accruals are distinct and separate from paid sick leave bank.

Protected Status Designation

Per APM 710-12, academic appointees may designate up to six (6) days per calendar year of sick leave (Accrued or Bank) as “Protected” for any of the purposes specified in policy and when complying with applicable notice requirements.
  •  The University prohibits any form of retaliation or discrimination against an employee for using or attempting to use paid sick leave designated as protected and for any other reason prohibited by policy. 
  • Department will generally not require documentation when an employee requests to use protected paid sick leave consistent with policy, but there may be times when it is appropriate to request documentation.
    • For example, when information indicates that the employee is not requesting the leave for a valid purpose or when an appointee requests to use protected paid sick leave balance while on FMLA/CFRA.

Paid sick leave (Accruals or Bank) is not designated as "Protectes" on its own, appointees must request that a specific period of sick leave be designated as such, not to exceed 6 days per calendar year.

  • Not all reasons for which sick leave is taken qualify for a “protected” designation. For example, an employee may use paid sick leave for a household member who is not a family member as described in policy.

Paid Sick Leave Bank

Per Academic Personnel Manual (APM) 710-13, eligible faculty members (as defined in APM 110-4) as well as Agronomists, Astronomers, Curators, and “by agreement” appointees in university extension, who also have an appointment of at least thirty (30) calendar days in a calendar year shall receive a bank of sick (6) days of paid sick leave per calendar year.

Eligibility for Paid Sick Leave Bank

Per APM - 110-4-(15), members of the faculty are individuals appointed to the following titles or series:

  • Professor series
  • Acting titles in the Professor series (Students who hold the Acting Instructor title are not considered faculty.)
  • Visiting titles in the Professor series
  • Professor in Residence series
  • Adjunct Professor series
  • Professor of Clinical (e.g., Medicine) series
  • Health Sciences Clinical Professor series
  • Supervisor of Teacher Education
  • Lecturer
  • Senior Lecturer
  • Professor of Teaching series
  • Acting titles in the Professor of Teaching series
  • Lecturer in Summer Session
  • Coordinator of Field Work
  • Field Work Supervisor
  • Field Work Consultant

Academic titles represented by a bargaining unit.  Collective Bargaining Agreements for represented appointees will dictate terms of leaves and accruals.

Sick Leave Usage

Sick leave (Accrual or Bank) is available for use only during scheduled work hours and shall be used in keeping with normally approved purposes including:

Eligible academic appointees may only use a paid sick leave bank when appointed in a title in which a paid sick leave bank is provided and may only use accrued paid sick leave when appointed in a title in which paid sick leave accrues.

Sick Leave Bank Provisions

  • Unused Paid Sick Leave Bank days do not carry forward from calendar year to calendar year. The maximum number of Paid Sick Leave Bank days an academic appointee can have is six (6).
  • Unused Paid Sick Leave Bank days expire on December 31st of each calendar year, or the last day of the appointment if the appointment ends before December 31st. A new Paid Sick Leave Bank balance of six (6) days will be allocated each January 1st.
  • The paid sick leave bank of six days is allocated once per calendar year if the appointee is employed 30 calendar days or more in a calendar year in a paid sick leave bank eligible job. The bank of six days is available for use in that job. 
  • Recalled academic appointees are not eligible for paid sick leave bank.
  • Paid Sick Leave Bank is distinct and separate from accrued paid sick leave.

Paid Sick Leave Bank for BYA Employees

Many university extension appointees are hired at 0% with $0.00 compensation, if the period at 0% employment is 30 calendar days or more in a calendar year, the “by agreement” university extension teacher is provided a paid sick leave bank of six days.

 

  • Paid sick leave bank days are are available for use only on scheduled workdays.
  • The paid sick leave bank is allocated once per calendar year if the appointee is employed 30 calendar days or more in a calendar year.
  • If a university extension appointee is rehired in the same calendar year, a new bank is not provided but previous unused days are reinstated.

Paid Vacation Accruals

Per Academic Personnel Manual (APM) 730, academic personnel appointed on an academic-year basis are expected to be in residence from the day designated in the University Calendar as the opening of the Fall term through the end of the Spring term.

  • Academic-year appointees do not accrue vacation leave.

Fiscal Year Appointees

Except for Postdoctoral Scholars (see APM - 390 or applicable collective bargaining agreement), academic personnel appointed on a fiscal-year basis for six (6) months or more at fifty percent (50%) time or more accrue vacation leave. Student academic personnel appointed on a fiscal-year basis for twelve (12) consecutive months or more at fifty percent (50%) time or more, and whose terms and conditions of employment are not subject to an applicable collective bargaining agreement, accrue vacation leave.
